Payroll

From payslip to paid, one clear step at a time.

Generate the month’s payslips, send them for approval, pay them, and always know which stage each one is in.

A fictional month: payslips are generated, submitted, approved and paid, and every stage keeps its own count.

Pay grades

Pay grades with PAYE already worked out.

A grade is a basic salary with your named allowances and deductions.

  • PAYE from the tax engine. PAYE is calculated from the basic salary and shown as a locked deduction, recalculated whenever the grade is saved.

  • Nobody left without a grade. Every active staff member is listed for grading, and those without a grade are called out.

An example pay grade. PAYE is added as a locked deduction worked out by SMS’s tax engine, not typed in.

The monthly run

Every payslip in exactly one stage.

Choose the month and every member of staff is listed with where their pay stands: not generated, generated, waiting for approval, approved or paid. Generate payslips, submit them for approval or delete them, withdraw what is waiting, and reverse a payment if you hold the privilege. The page totals the payroll, what has been paid and what is outstanding.

  • One-month adjustments. Before generating, leave out an allowance or deduction for this month only, or add a one-off line, such as recovering the cost of something damaged. The pay grade itself is not changed.

  • Runs stay together. Payslips submitted together are shown as one run and withdrawn or returned as one.

  • Print payslips. Print the payslips for any ticked staff who have one.

Approvals

Your approval chain, in order.

Set the levels a payslip passes through before it can be paid, each with its own approver.

  • A run arrives as a run. Payslips submitted together reach approvers together, ready to approve one by one or in bulk.

  • See how the net was built. Open any payslip to see the allowances and deductions behind its net figure.

  • Nothing waits unnoticed. Catch Up shows approvers the payslips waiting for them.

  • Cover while someone is away. A level can name a delegate who approves in the approver’s place. One person cannot hold two levels, and two levels cannot cover for each other.

  • Decisions on record. A Decided tab shows what was approved or rejected, by whom and why.

Paying staff

Pay, post and prepare the bank file.

Approved payslips are paid from one screen, and the expense is posted to the account you choose. Past payments are listed by the run that paid them, with the account, method and date, for when someone queries their pay.

  • A bank payment template. Download the month’s salaries in the layout of GTBank, Zenith, Access, First Bank, UBA, Union, Ecobank, Wema, Sterling or Polaris.

  • Missing bank details named. Staff without bank account details are left out of the file and listed, so someone can fix them.

Overtime

Overtime that adds up.

Staff request overtime with the date, start and end times, the task and a reason, and see their own requests on a page of their own. Managers approve or reject requests with comments. Your rates decide what an hour is worth, with one rate set as the default.

  • Fixed or multiplied. Pay a fixed amount per hour, or a multiple of the staff member’s own hourly rate.

  • Shown on the payslip. Overtime hours and remarks are added when a payslip is generated.

Still have a question?

No. PAYE is worked out from the basic salary on each pay grade and appears as a deduction you cannot overwrite.
