Employee records

Your staff, from first day to last.

Each employee’s details, salary, bank accounts, documents, class schedule and devices sit on one profile.

A fictional employee’s profile, with each part of their record behind its own tab.

Employment status

One status. The right consequences.

A staff member’s status decides whether they can be assigned work and whether they belong on payroll.

  • Working, away or gone. Active, on probation, corps member, intern, on leave, suspended, resigned, dismissed, retired or contract ended.

  • Leave stays paid. Someone on leave stays on payroll but is not offered for assignment. Suspended staff are neither.

  • Current and former, a click apart. The staff list shows who works here by default, with former staff and each status one filter away.

One fictional employee under four statuses. Each status decides assignment, payroll and whether they count as current staff.

Adding staff

One form, or a whole spreadsheet.

Add a person with their employment, personal, login and bank details, or import many at once.

  • Pension only where it applies. Pension details sit behind a switch, since many staff have no pension account.

  • Mixed roles in one file. Import from Excel with each person’s role, designation and department in their own row, so a teacher and a bursar can arrive together.

  • Departments and designations. Keep your own lists of departments and job titles.

A fictional intake: a teacher, a bursar and a receptionist in one Excel file, each with their own role, designation and department.

The staff list

Staff grouped by the role they hold.

Each role with staff in it has its own tab, and the link to each tab can be shared.

  • Counts at a glance. Each status shows how many staff it holds.

Staff grouped by role, with a count for each status. Example names.

The staff profile

Everything about one member of staff.

A staff profile keeps the person’s identity at the top and the rest in tabs: editable details, their class schedule, salary, bank accounts, login and security, the devices they use, documents on file, and their sign-in history showing when and from where they signed in.

  • Documents on file. Keep contracts, certificates and other documents against the member of staff.

Access

Sign-in, PINs and devices, per person.

Manage how each employee gets into SMS without touching their record.

  • Turn sign-in off in bulk. Move staff between the lists of who can and cannot sign in. Nothing is deleted.

  • Reset a PIN. Clear a forgotten PIN from the profile, and the employee sets a new one at their next sign-in.

  • Their devices. See the computers an employee uses from their profile.

Still have a question?

No. Staff on leave stay on payroll. Pay can still be adjusted on their payslip if needed.
