Built around your responsibilities

## Spend less time asking for updates.

A growing school should not depend on one person remembering every detail. Bring the daily work together so leadership can follow what matters and staff can get on with their responsibilities.

01

### Know whether the registers are actually being taken.

Attendance compliance gives you a view of the recording work itself. A school can have attendance screens and still have classes whose registers nobody completed; SMS helps you see the gaps.

- #### See completion by class and teacher.

Check each class against the school days in the week, with its class teacher shown. Distinguish a completed register from a missing one, rather than assuming an empty record means every child was absent.

- #### Spot a repeated problem.

See consecutive days of unmarked attendance and the teachers associated with missed registers. Use that picture to ask a specific question and follow up with the responsible person.

- #### Keep the school calendar in the picture.

Weekends, holidays and term dates shape the attendance checks. Catch Up highlights classes still missing a register during the school day, while attendance reports help you review actual student presence over time.

You can follow both student attendance and whether the school is keeping the records it depends on.

02

### See who owes, how much, and where follow-up should start.

Move beyond a single collection total. Use outstanding fee reports to understand which students and families still have a balance and what kind of payment progress they have made.

- #### Separate no payment from part payment.

Review all students with an outstanding balance, narrow the list to those who have not paid, or focus on part-paid accounts. These are different conversations, and the report helps you treat them that way.

- #### Look by family or class.

Group outstanding amounts by family for a joined-up conversation about siblings, or by class to organise the school’s follow-up. Open the underlying invoice when you need the charges, payments and remaining amount.

- #### Keep previous terms visible.

Earlier unpaid balances remain part of the student’s financial picture. Review the relevant session and term instead of losing old debt when a new term begins, and export supported fee reports for review meetings.

Your fee conversation starts with a clear balance and a specific group to follow up, rather than a guess.

03

### Keep sensitive financial decisions accountable.

A fee write-off changes what the school expects to collect. Set an approval chain so a permitted member of staff can request that action without completing it before the required people have agreed.

- #### Choose the people in the decision.

Assign each approval level to a staff role or a named person. A request waits for the chain, and a refusal ends it. The requester does not silently count as having approved their own step.

- #### Follow a request to its outcome.

Use Waiting on me, My requests and Decided to see who needs to act and which decisions are complete. Each request shows its approval chain, so the school can tell where a decision is waiting.

- #### Review what actually happened.

An approved write-off uses the balance still owed when it runs, taking account of payments made while it waited. Owner overrides are recorded. Payroll approvals and staff leave decisions have their own processes.

A sensitive balance adjustment has a visible decision trail, with the final action tied to the current amount owed.

04

### Delegate the work without handing everyone the whole school.

Give staff roles the responsibilities their jobs require. Someone may need to read a record without changing it, or collect fees without managing every school setting.

- #### Choose the permitted actions.

Set viewing, adding, editing and deleting permissions for supported modules. Review responsibilities by role, and create a custom role when a job needs a different combination of access.

- #### Decide who handles money.

School administrators start without financial access. You choose any financial responsibilities they should receive. Built-in Teacher and Receptionist roles stay outside money areas, while the Accountant role stays outside teaching assessments.

- #### Keep responsibility consistent.

Permissions belong to the role, so people doing the same job follow the same access rules. When someone’s responsibilities change, review their role instead of sharing a more powerful account.

You can spread the workload while keeping sensitive records and actions with the right people.

### Understand the money beyond the fee desk.

Fee collection is one part of running a school. Bring school income, expenses, bank review and staff pay into your oversight, with the records behind each figure available to authorised staff.

- #### Read the financial picture.

Review income and expense reports, account statements and available balance reports. Compare what the school is receiving with what it is spending, then return to the relevant records when something needs explanation.

- #### Review exceptions, not only totals.

Bank reconciliation and fee discrepancy reports help the finance team investigate records that need attention, including duplicate payment concerns or a discount added after payment.

- #### Know where payroll stands.

Payroll moves through preparation, submission, approval and payment. Its own approval levels give the people responsible a chance to review staff pay, while the paid and outstanding figures help you follow completion.

You have a broader basis for financial decisions than a collection figure alone.

### Keep your people and the school’s growth in view.

As the school grows, daily administration should stay connected to leadership. Use staff records, leave information, academic records and branch management to understand the operation your team is running.

- #### See staff absence with context.

Leave records show applications and their decisions, with date and role filters in the leave report. Keep approved leave distinct from an attendance gap that needs an explanation.

- #### Follow the student journey.

Review the records your team maintains from enrolment and class placement through assessment and progression. School reports give you a way to discuss the work using shared information.

- #### Organise more than one branch.

Branch management helps your school reflect its structure. Staff access and the selected school context shape what people work with, so a larger operation does not have to rely on one undifferentiated set of records.

Growth can bring clearer responsibilities and records, rather than more dependence on informal updates.
