Your information

Privacy Policy

What information Academium handles, why it is used, and how your school’s setup affects where it is kept.

Last updated

A school server, an offline copy on a staff computer, and a hosted portal are different places to keep information. Your chosen setup determines which of them holds your records.

Who this policy covers

Academium is part of Codeindigitech Limited, the company behind CodeinDevelopers. This policy covers our website, enquiries, support, and the Academium products and services you choose to use.

When a school enters student, guardian or employee records, the school decides why those records are collected and who may use them. Academium provides the software and, where selected, hosting and sync services. For records managed by a school, start with its owner or administrator.

Information involved

Accounts and conversations

Contact details, school and account information, and the messages or files you choose to send when asking a question or getting support.

School records

Information entered by authorised staff, such as student and guardian details, attendance, assessments, fees, employee records, payroll and uploaded documents. The modules and fields your school uses determine what is recorded.

Learning and assessments

Surepass account details, practice activity, answers, assessment results, typing progress, and the links between students, parents, teachers and schools used by the chosen features.

Technical information

Device and application details used for sign-in, device access, sync and troubleshooting. Our website also uses browser storage, traffic analytics and a support-chat widget.

How information is used

  • Create and manage accounts, deliver the requested product, and apply the school’s access permissions.
  • Save records, run assessments, show progress, and synchronise supported information between the services you connect.
  • Handle subscriptions, payment references, refund requests, enquiries and support conversations.
  • Investigate faults, maintain service security, understand website use, and improve the service.
  • Meet applicable legal and record-keeping obligations. Where processing requires consent, that consent can be withdrawn subject to applicable law.

Where records are kept

With an on-site setup, the school server stores school records and serves connected computers on the local network. Individual Edition can also keep a local copy so an authorised employee can work offline.

When Academium Cloud or portal sync is used, supported records are held online as part of that service. In a combined SMS setup, the school server is the main store and the portal is a second copy. Surepass Individual can save supported learning activity online through its portal connection.

A backup is another copy of records and uploaded files. School-server backups can be kept on selected local drives; cloud copies depend on the product, edition and configured service. Ask us about the hosting and backup arrangements for your specific account.

Access and connected services

School users see information according to the roles and permissions assigned to them. Parent and teacher views in Surepass depend on the accounts and learners linked to them. SMS itself is an employee application; students and parents do not sign in to SMS.

Information is exchanged with a connected service when that feature needs it, for example portal sync or supported SMS–Surepass integration. Payment providers handle their own payment flows. Sending an email, opening WhatsApp or following a social link also involves that provider’s service and privacy terms.

Academium handles information needed to deliver hosting, support and other requested services. A legal request may also require disclosure. Contact us for details of service providers, hosting locations or transfer arrangements relevant to your school before enabling a service that depends on them.

Keeping and removing records

A school sets the record-keeping requirements for the information it manages. Some workflows retain history or use a recycle bin, so removing an item from a list does not necessarily erase every copy.

Backup history follows the server’s configured retention settings. Clearing information on one device does not remove copies held on a server, in the portal or in existing backups. Contact the school administrator about school records and Academium about information held directly for your account or support request.

The appropriate retention period depends on the information, the purpose of processing, the service arrangement and applicable obligations. Ask us about export and deletion before ending a hosted service.

Children’s information

School and learning products can involve children’s records. Schools, parents and guardians should provide only information needed for the intended activity and use the access arrangements available for the child’s account.

For a child’s school record, contact the school first. For an individual Surepass account, contact us with enough information to identify the account and your relationship to the child. We may need to verify authority before discussing or changing personal information.

Your choices and requests

Depending on the applicable law and circumstances, you may request access to personal information, correction, erasure, portability, or a restriction of or objection to processing. Where consent is the basis for processing, you may withdraw it. These rights can be subject to legal conditions and record-keeping requirements.

Tell us which product or website interaction your request concerns. For school-managed records, we may direct the request to the school or work with its authorised administrator. You can also raise a concern with the Nigeria Data Protection Commission.

Security and policy updates

Our Security page explains the documented access controls, portal transport and school-server backups, including the differences between editions. Keep account credentials private and report a lost device or suspected unauthorised access promptly.

We update this policy as services and information-handling arrangements change. The date above identifies the latest version on this page. Questions about the policy can be sent to our general enquiries team.
